A big part of staying compliant is maintaining up-to-date evidence of compliance and security measures. The Secfix app simplifies this process by allowing users to efficiently update manual evidence samples, ensuring your organization's security posture is accurately represented and easily auditable.

This guide will walk you through the steps to update your manual evidence samples within the app.

Update Manual Evidence

Step 1: Navigate to Manual Evidence Tasks

First, access the Manual Evidence Tasks within the Secfix app. This section is designed to alert you when evidence is missing or outdated, making it easier to manage compliance requirements and security documentation. Look for tasks flagged with an alert, indicating that action is required.

Step 2: Identify Outdated Evidence

Within a task, outdated evidence is marked with a little red sign, drawing your attention to what needs updating. This visual cue helps streamline the process by quickly directing you to the items that require your immediate attention.

Step 3: Adding a New Version of Evidence

Instead of clicking on "Add Evidence" immediately, take a moment to click on the three dots next to the uploaded sample. This will open a menu where you can select "Add new version." This option is crucial for maintaining a clear and organized record of evidence updates without removing historical data.

Step 4: Upload Updated Evidence

After selecting "Add new version," you'll have the opportunity to upload the most current evidence. This step ensures that your documentation is up-to-date, reflecting the latest information and compliance status. You can upload links, documents, images, or other files that serve as proof of compliance or security measures.

Step 6: Check for New and Reassess Applicable Tasks

After updating your manual evidence, take the opportunity to diligently review your dashboard for any new tasks or to reassess tasks previously marked as "Not Applicable." This critical step ensures that your organization's compliance and security documentation remains fully aligned with current operational and regulatory conditions. The dynamic nature of business processes and security landscapes might necessitate revising the applicability of certain tasks, making them relevant due to recent changes. Vigilantly monitoring and updating these tasks supports an adaptive and comprehensive risk management approach, safeguarding against potential oversights and maintaining a robust compliance status.

Accessing Version History

The Secfix app provides a version history for each piece of evidence, offering a historical trail for security and audit purposes. This feature is invaluable for tracking changes over time, demonstrating continuous compliance, and providing transparency during audits. Accessing the version history allows you to review previous versions of the evidence, ensuring you have a comprehensive understanding of your organization's security and compliance journey.

Why Updating Manual Evidence is Important

  • Compliance: Regular updates ensure that your organization meets the latest regulatory and compliance standards.

  • Security: Up-to-date evidence reflects your current security posture, helping identify any gaps or areas for improvement.

  • Audit Readiness: A well-maintained and accessible evidence trail simplifies the audit process, showcasing your organization's commitment to security and compliance.

  • Transparency: Version history offers transparency both internally and externally, building trust with stakeholders and regulatory bodies.

Updating manual evidence samples in the Secfix app is a straightforward yet critical task for any organization committed to maintaining a strong security posture. By following these steps, you ensure that your evidence is current, organized, and ready for any compliance checks or audits that may arise.
